About the job

As Accounts Receivables Clerk, you will mainly be responsible for tightly managing accounts receivables and assisting customers with their accounts queries.

We’re looking for a self-managed, self-motivated individual who thrives in an autonomous working environment. Your communication skills, diplomacy and charm make customers wonder if they’re talking to accounts or to sales. You manage to get paid while building genuine customer relationships. You add flair to being ‘firm but fair’.

On the job training: During your onboarding, you’ll be expected to be proactive and learn quickly. Once fully up-to-speed (1-2 months), you’ll be sending lots of emails and be on calls that can take a good chunk out of your day. This is a significant volume, so be sure that you’re ready and able to deal with that kind of daily load — peers are supportive and available for guidance but there is no hand-holding!

This job is not for everyone. You’re required to meet expectations without hands-on management. It’s your personal responsibility to uphold Voys’ standards for yourself and for your team members. The workload and pace are high. Being on top of your game is paramount. Juggling the immediate needs of customers as well as staying on top of your to-do’s is no easy feat. 

What you'll be responsible for

  • Accurate and real-time accounts receivables records at all times
              • Reconciling payments to invoices daily
              • Reconciling customer prepaid balances on Freedom (our telephony platform) to Xero
  • Accounts receivables management:
    Recovering debts while maintaining good customer relationships.
              • Sending timely and accurate (automated) payment reminders daily
              • Chasing debtors via phone and email
              • Negotiating payment arrangements and holding debtors to the agreed terms
              • Correcting undeliverable customer email addresses
              • Deactivating/ reactivating customer accounts on Freedom
              • Removing customer accounts from Freedom
              • Blacklisting defaulters
              • Writing off bad debts
  • Ad-hoc assistance of customers:
              • With accounts related requests:
                    • email queries
                    • telephonic queries
                    • emailing customer invoices and statements
              • With the online payment portal (Payfast) and EFT prepaid top-ups
  • Assisting in the month-end billing process
  • Customer vetting and capturing of customer details
              • Vetting of customer documents (RICA)
              • Approving or rejecting documents or applications
              • Processing of credit risk assessments for new and existing customers via Netcash
              • Creating new customer accounts on Xero
              • Approving and capturing customer detail changes

About You

  • Minimum of 7 years experience in comparable roles

  • Proven track record in accounts receivables management

  • Ample experience using online accounting software like Xero

  • Intermediate Excel skills 

Required qualification

  • Bookkeeping or Financial Management Diploma
